1. Who we are
Royal Wave Dance Academy Inc. (“Royal Wave,” “we,” “us” or “our”) is responsible for personal information under its control. Our Privacy Officer oversees this policy and responds to privacy questions, requests and concerns.
Privacy Officer
Royal Wave Dance Academy Inc.

2. Scope and applicable law
This policy applies to personal information collected through the Royal Wave website, update and interest forms, email communications, program inquiries, future registration activities and other interactions with Royal Wave. We manage personal information in accordance with Alberta’s Personal Information Protection Act and other Canadian privacy and anti-spam laws that apply to our activities.
3. Information we collect
Depending on how you interact with us, we may collect:
- Your name and contact details, including email address and an optional telephone number.
- General participant information, such as an age group, dance interests, preferred pathway and experience level.
- Information you include in an inquiry, message, feedback response or request.
- Your communication preferences and records showing when and how you consented to receive updates.
- Future registration and program-administration information when enrolment opens. Any additional collection will be explained at that time.
- Standard technical information processed when you visit the website, such as IP address, browser type, device type, requested pages and timestamps. This information may appear in security and server logs.
We do not ask for dates of birth, health information, payment information or other sensitive details through the current interest form.
4. Information about children
The website and its forms are intended for parents, guardians and adult participants. Children should not submit personal information directly. A parent or guardian may provide limited, general information about a child—such as an age group and program interests—so that we can provide relevant information.
If we learn that a child submitted personal information without appropriate parental or guardian involvement, we will delete it unless we are legally required to retain it.
5. How we use information
We use personal information only for reasonable purposes connected with operating and developing Royal Wave, including to:
- Respond to questions and communicate about the academy.
- Send requested construction, opening, program, event and registration updates.
- Understand community interest and plan programs and age groupings.
- Administer future registrations, waitlists and participant relationships.
- Maintain consent and communication-preference records.
- Operate, secure, troubleshoot and improve the website.
- Meet legal, regulatory, accounting and safety obligations.
We will obtain additional consent before using personal information for a materially different purpose, unless the law permits or requires the use.
6. Consent and email updates
We obtain consent in a form appropriate to the information and purpose. When you join the Royal Wave update list, you expressly agree to receive the updates described beside the form. Our commercial electronic messages will identify Royal Wave and provide a working unsubscribe method.
You may withdraw consent at any time by using the unsubscribe link in an email or contacting our Privacy Officer. Withdrawal does not affect uses already made with valid consent and may limit our ability to provide a requested service.
7. When we share information
We do not sell or rent personal information. We may provide limited information to service providers that help us operate the website, host information, deliver email, manage forms, secure our systems or provide professional advice. They may use the information only to perform services for Royal Wave and must protect it appropriately.
We may also disclose information where permitted or required by law, to respond to lawful requests, investigate fraud or security incidents, protect legal rights or safety, or as part of a business transaction subject to appropriate confidentiality protections.
8. Processing outside Canada
Some future technology or communication providers may store or process information outside Canada, including in the United States. When information is processed in another country, it may be accessible to courts, law-enforcement agencies or regulators under that country’s laws. Royal Wave remains responsible for selecting providers and using contractual or other reasonable protections.
You may contact our Privacy Officer for information about our service providers and the countries in which they process personal information.
9. Retention and deletion
We retain personal information only as long as reasonably necessary for the identified purpose or as required by law:
- General inquiries and related correspondence are normally deleted or anonymized 24 months after the last meaningful interaction.
- Update-list information is retained until you unsubscribe or the update program ends.
- Consent and unsubscribe records are retained for as long as needed to demonstrate compliance and honour communication preferences.
- Information connected with future registrations will follow the retention period communicated during registration and applicable legal requirements.
- Security logs are retained only for a reasonable period needed for security, troubleshooting and abuse prevention.
When information is no longer required, we securely delete it, anonymize it or arrange for our service providers to do so.
10. Safeguards
We use administrative, technical and physical safeguards appropriate to the sensitivity and amount of information. These may include access controls, limited staff access, secure service providers, system updates, encrypted transmission where appropriate, staff expectations and secure deletion practices.
No online system can be guaranteed completely secure. If a privacy incident creates a real risk of significant harm, we will investigate and provide any notices required by law.
11. Cookies and analytics
Royal Wave does not currently use advertising cookies, behavioural advertising or third-party analytics on this website. Basic technical data may still be processed by the website host for delivery, reliability and security. If we introduce non-essential analytics or similar technology, we will update this policy and provide any consent controls required by law.
12. Access and correction
You may submit a written request to access personal information Royal Wave holds about you or ask us to correct an error or omission. Send the request to hello@royalwave.dance with the subject “Privacy Request.” We may need to verify your identity before responding.
We will respond within the period required by law. Access may be limited where the law permits or requires us to withhold information, including where disclosure would reveal another person’s information. We will explain any refusal and available next steps.
13. Questions and complaints
Please contact our Privacy Officer first so we can investigate and try to resolve your concern:

14. Changes to this policy
We may update this policy as Royal Wave’s programs, systems or legal obligations change. The current version will always be posted on this page with its effective and last-updated dates. If a change materially affects how we use information already collected, we will provide appropriate notice and seek consent where required.
